Administrative and Operations Officer

We are looking for an Administrative & Operations Officer who will be managing the day-to-day operational tasks, responsible for entering data into relevant systems accurately. The job incumbent will also be called upon to serve as a primary point of contact for internal and external stakeholders.

Reporting to the Head of Sea Clearing, the job incumbent will be mainly required to:

 

KEY RESPONSIBILITIES

  • Oversee the organization and management of Customs-related documentation, ensuring accuracy, completeness, and compliance with regulatory requirements and ISO standards.
  • Responsible for entering data into relevant systems accurately and maintaining up-to-date records of Customs documentation, clearance status, and related information.
  • Serve as a primary point of contact for internal and external stakeholders regarding administrative matters related to Customs clearance processes.
  • Coordinate resources such as personnel, equipment, and facilities to support efficient Customs clearance operations, optimizing productivity and minimizing delays.
  • Assist HOD in providing training and support to staff members on administrative procedures, systems, and best practices related to Customs documentation and clearance processes.
  • Assist in monitoring and ensuring compliance with Customs regulations, policies, and procedures, identifying areas for improvement, and implementing corrective actions where needed.
  • Prepare reports and analyses on Customs clearance activities, performance, and compliance issues, providing insights and recommendations for process optimization and improvement.
  • Coordinate with vendors and service providers involved in Customs clearance activities, to ensure seamless integration and service delivery.

QUALIFICATIONS & EXPERIENCE

  • Minimum HSC
  • A minimum of 1 year experience in a similar position

OTHER PREREQUISITES

  • Computer literate
  • Knowledge in Excel and Words
  • Dynamic, Proactive and Customer Service Oriented
  • Ready to work under pressure and able to effectively handle multiple priorities, organize workload and meet deadlines.
